Office Manager: Duties:
Bookkeeping
Accounts Payable
Accounts Receivable
Monthly Reconciliation of bank accounts and credit card statements
Order/process weekly payroll through outsourced vendor Enter payroll into QB
Tracking all charges on credit cards
Construction
Reviewing Contracts/Subcontracts for incoming work prepare for signature Order Certificates of Insurance for owners/GC.
Set up bids & jobs
Familiar with contract progress billings & final billings
Filing 20 day preliminary lien notices
Conditional and unconditional releases
Preparing, following up and onboarding Subcontractors Vendors (Subcontracts/Certificates of Insurance /W-9/Contractor License)
Administrative/Clerical
Front office person to answer phones & screen calls
Support office staff
Maintain job folders
Record management
Shop for Commercial insurances
Manage various office services, such as arrange for annual fire alarm inspections etc.
Maintain OHSA log
Communicate with insurance brokers workers comp insurance claims, auto claims, loss runs, etc....
Human Resources
Onboarding new employees
Employee Terminations
Communicating with third party admin regarding COBRA

Skills Required:
QuickBooks Desktop
Excel/Word
Microsoft outlook

Intangibles that are important to them: Have nerves of steel, thick skinned, able to take the bull by the horns, quick learner, multi-tasked, and someone who can roll w/the punches and not wear their heart on their sleeves. She is looking to have this position filled before the end of the year.
