Job DescriptionJob DescriptionWe are seeking a Medical Administrator to join our team in the medical devices industry, based in Irving, Texas. As a Medical Administrator, you will have a variety of responsibilities, including patient processing, office duties, and compliance tasks. This role offers a contract to permanent employment opportunity.

Responsibilities:

• Manage general office duties such as answering phones, maintaining both paper and electronic file systems, and preparing various areas for daily operations
• Schedule and confirm patients’ prosthetic and follow-up appointments
• Process new patients, including initial patient info, check-in and check-out, and patient intake information
• Ensure strict adherence to patient confidentiality and HIPAA compliance protocols and update corporate database as needed
• Assist with the translation of Spanish speaking patients and carry out benefit verification checks
• Conduct and/or assist with patient evaluation/satisfaction surveys
• Build and maintain relationships with potential patients
• Prepare and submit weekly and monthly reports with tracking information
• Manage patient files, ensuring information is kept current daily, and handle chart notes, doctor’s signatures, delivery acknowledgments, and follow-up management
• Communicate with the corporate office regarding major expenses, payments/write-offs, and executive expense reports
• Oversee compliance projects and upkeep, and maintain chart backup
• Coordinate and manage the overall office clinical staff schedule
• Maintain a log for office repairs/needs and schedule work to be done, including IT, utilities, supplies, refreshments, laundry, and general maintenance, janitorial
• Prepare patient appointment materials, ensuring all necessary paperwork and release forms are ready for scheduled appointments
• Execute other duties and responsibilities as directed by management.• Proficiency in Customer Service, demonstrating excellent communication and interpersonal skills.
• Fluency in Spanish Language, both written and spoken, to cater to a diverse patient base.
• Experience in a Medical Office setting, understanding the unique demands and responsibilities of the environment.
• Familiarity with Receptionist Duties, including greeting patients, handling inquiries, and managing correspondence.
• Capability to handle Answering Inbound Calls, demonstrating patience, empathy, and professionalism.
• Proficiency in Record Keeping, ensuring all patient information is accurate and up-to-date.
• Skills in Data Entry, demonstrating attention to detail and accuracy.
• Ability to address Patient Concerns, providing reassurance and accurate information.
• Experience in Billing, specifically within the medical field, ensuring all charges are accurate and promptly handled.
• Proficiency in Coordinating Appointments, managing a complex schedule with multiple providers.
