We are seeking a Property Administrator based in Belleville, NJ. This role is crucial to our real estate operations, with a focus on the administration and management of commercial properties. As a Property Administrator, you will assist in maintaining efficient systems and processes, manage property-related documents, and provide comprehensive support to our Property Manager.


Responsibilities:


• Manage and distribute mail, telephone correspondence, and draft responses when needed.

• Coordinate complex travel arrangements and schedule meetings, conferences, and department activities.

• Maintain and update the property management database with tenant information, lease agreements, and billing details.

• Assist with property documentation, tenant manuals, and the production of property books.

• Support accounting tasks, including rent rolls, tenant statements, billing notices, payments, and collections.

• Collaborate with the Legal Department on service agreements, leases, and other property-related legal documents.

• Process invoices for portfolio properties regularly.

• Maintain efficient and accurate filing systems for tenant and lease files, vendor agreements, maintenance contracts, and other property-related documents.

• Assist Property Manager(s) with tenant relations, including preparing welcome letters, renewal gifts, and other communication.

• Dispatch maintenance personnel as directed by the Property Manager(s).

• Prepare and distribute reports, such as delinquency reports, rent increase notifications, and tenant contact lists.

• Create professional presentations, reports, newsletters, and marketing materials in alignment with the company’s branding standards.

• Audit tenant lease files and insurance certificates to ensure compliance with company policies.

• Distribute building correspondence, maintenance notifications, and holiday schedules.

• Must have a minimum of 2 years of experience in a similar role or within the property management sector
• Proficiency in property management software is required
• Familiarity with Yardi Property Management system is a plus
• Experience in commercial property management is highly desirable
• Must possess excellent knowledge of real estate property management principles and practices
• Experience with property management accounting is necessary
• Prior work experience in a property management company is beneficial
• Must possess excellent communication and interpersonal skills
• Strong organizational skills and attention to detail are necessary
• Must be able to work independently as well as part of a team
• A degree in Business Administration, Real Estate, or a related field is preferred.
