Job Description

We are seeking a skilled and detail-oriented Medical Assistant Surgical Scheduler. The ideal candidate will have experience in patient check-ins for surgery, managing medical records, and scheduling surgeries and appointments. A solid understanding of medical terminology and experience with EPIC is highly preferred.

Responsibilities
  • Check in patients for surgery and understand EPIC system.
  • Process referrals and manage medical records.
  • Schedule surgeries and coordinate with Anesthesiologists/CRNAs, Radiology Technicians, and outside vendors.
  • Regulate and maintain patient appointment schedules for Interventional Radiology, Cat Scan, and Special Procedures.
  • Create new EPIC charts and handle HST reporting including end-of-month reports.
  • Schedule vendors to support surgical cases.
  • Read clinical information from orders and schedule appropriately, seeking assistance from IR Technologists, Nurses, or Physicians when necessary.
  • Correlate scheduling of same-day examinations with Radiologists and Nurses.
  • Schedule patients based on requests from Physicians and explain special procedures and preparations to outpatients.
  • Instruct patients on diets, medications, and post-procedure instructions.
  • Arrange copies for patients needing films for outside treatment.
  • Inform patients about lab information and follow up on lab results before examination dates.
  • Maintain the scheduling book and future booked exams, as well as the follow-up appointment patient log sheet.
  • Act as liaison between Medical Offices, Nurses, Radiologists, and Physicians for patient admittance.
  • Screen patients thoroughly using the history/screening form and alert Radiologist of severe contrast allergies or other medical history issues.
  • Confirm appointments and preparations the day before with patients and Nurses.
  • Reschedule waiting patients as necessary in emergencies.
Essential Skills
  • Experience with EPIC system (highly preferred)
  • Medical terminology knowledge, particularly surgical terminology
  • Customer service orientation
  • Experience with patient scheduling and insurance verification
  • 2 years of scheduling experience required
  • AHA BLS certification required
Additional Skills & Qualifications
  • Certification in Medical Assisting is a plus
  • Experience working with referrals, surgery scheduling, and front desk responsibilities
  • Knowledge of health insurance providers and patient check-in procedures
Work Environment

Work hours are from 06:00 to 14:30. The role involves working closely with medical staff and patients in a hospital setting. The environment is fast-paced and requires excellent organizational skills to manage multiple tasks and schedules efficiently. The position offers the opportunity to gain experience working for one of the largest hospital systems in Northern California.
