Job Summary:

The Shared Services Operations Specialist is responsible for performing a variety of routine and moderately complex tasks to support business operations, ensuring compliance with client requirements, and meeting service level agreements (SLAs). The role includes logging and processing checks, handling document management, clearing operational queues, and managing inbound and outbound communications with insurance carriers. The position requires attention to detail, adherence to procedural guidelines, and the ability to work efficiently within multiple client and company-specific systems.

Key Responsibilities:

  • Check and Document Processing: Log and process checks accurately, handle inbound and outbound communication related to check processing, and manage documents efficiently within operational systems.

  • CLEAR Queue Management: Monitor, manage, and resolve items within the CLEAR queue. Work to ensure timely processing of all assigned tasks.

  • Insurance Carrier Communication: Place outbound calls to insurance carriers and respond to inbound calls to resolve issues, obtain information, and ensure compliance with client policies.

  • Research and Issue Resolution: Research items received via faxes, reports, correspondence, and checks. Resolve issues by contacting relevant parties, ensuring compliance with client and company standards.

  • Client and System Compliance: Follow client-specific policies and procedures for all tasks. Work within client and company proprietary applications to ensure accurate data management.

  • Collaboration and Support: Provide assistance and back-up support to team members to meet client requirements and SLAs. Collaborate effectively with colleagues across teams.

  • Quality and Performance: Ensure work is completed accurately, efficiently, and within deadlines. Demonstrate quality performance and adhere to key behavioral expectations such as attendance, teamwork, and organizational contributions.

  • Additional Duties: Perform other duties or projects as assigned by management, which may involve tasks of varying complexity based on business needs.

Qualifications:

  • Experience:
    • Typically requires 1–2 years of experience in a shared services, operations, or customer service role. Experience with insurance processes is a plus.
  • Skills:
    • Strong attention to detail and organizational skills.
    • Ability to work within proprietary software and systems.
    • Excellent communication skills, both verbal and written, with a focus on customer service and problem resolution.
    • Ability to multitask and work in a fast-paced environment.
  • Behavioral Expectations:

    • Ability to adapt to changing priorities and meet deadlines.

Working Conditions:

  • This position is temporary in nature and may require flexible work hours.
  • Work will be conducted within a multiple-client environment.
