Well established professional services firm is seeking an Office Manager for their organization. Responsibilities of this role will include:


Oversee day-to-day administrative functions including client onboarding and correspondence

Manage the firm's billing, including bill pay, applying payments and maintaining A/R

Supervise a team of three administrative staff, providing guidance and assigning tasks as necessary

Handle in-house mail and ensure weekly bank deposits are carried out efficiently

Oversee and manage firm accounting tasks

Implement IT-related tasks and demonstrate advanced skills in QuickBooks

Lead Human Resources activities such as annual open enrollment, employee onboarding and payroll coordination, specifically using Paychex

Assist in customer service, interacting with clients as required and ensuring high-quality communication is maintained


Requirements:


Demonstrated experience in office management, ideally within a professional services firm

Exceptional attention to detail, professional demeanor, and positive attitude

Strong IT knowledge and ability to swiftly navigate QuickBooks

Prior HR experience is preferred

Superior communication skills for client interaction

• Minimum of 3 years of experience as a Full Charge Bookkeeper or similar role
• Proficiency in Accounting Software Systems is required
• Strong skills in Microsoft Excel are essential
• Comprehensive understanding of Accounting Functions is necessary
• Experience with Accounts Payable (AP) and Accounts Receivable (AR) is mandatory
• Proficiency in QuickBooks is highly desirable
• Familiarity with Paychex Payroll and Paycheck systems is required
• Experience with Open Enrollment process is advantageous
• Proficiency in Billing procedures is required
• Experience with Billing software is a plus
• Ability to manage Posting Payments efficiently is essential
