Job DescriptionJob Description

Summary: Perform a range of office management, administrative, secretarial, project support, and special project tasks of moderate to advanced complexity. This role requires significant skill, independent initiative, and familiarity with office policies and procedures.

Responsibilities:

  • Serve as the primary liaison between building tenants and the building owners.

  • Provide comprehensive office management and administrative support to the organization.

  • Coordinate the placement of classified ads for personnel for various projects as needed.

  • Facilitate communication by answering phones, taking messages, and making outgoing calls; manage and distribute messages from the general mailbox.

  • Maintain a tidy and organized front area.

  • Receive and distribute all courier and special delivery packages; monitor outgoing packages for courier pick-ups.

  • Retrieve, sort, and distribute mail.

  • Open and date stamp all accounts payable mail; forward to the accounts payable department.

  • Manage postage, ensuring sufficient funds remain in the meter.

  • Deliver all outgoing mail to the post office and special delivery drop-off locations.

  • Oversee the copying machine room, ensuring it is well-stocked and tidy; troubleshoot machine issues and maintain vendor contact information.

  • Manage facility maintenance by coordinating with appropriate vendors and contractors for upkeep, housekeeping, and repairs.

  • Be aware of and maintain the facility's security arrangements; manage vendor contacts for security and maintenance.

  • Change security passwords and set up new ones as needed.

  • Maintain a directory of important phone numbers.

  • Maintain office supply inventory by reviewing stock, processing approved Office Supply Request Forms, and ordering materials as needed.

  • Conduct and maintain an annual inventory of furnishings, equipment, books, and publications.

  • Maintain a log of computer and printer hardware, including serial numbers and user information.

  • Support the accounts payable department as needed.

  • Respond to the needs and priorities of personnel.

  • Liaise with the IT company to manage network troubleshooting and repairs.

  • Set up new email addresses as needed and coordinate with the IT company for computer and network issues.

  • Organize and plan company functions, luncheons, and meetings.

  • Analyze administrative processes and recommend improvements or more efficient alternatives.

  • Analyze corporate expenditures (e.g., telephone and office supplies) and suggest cost-saving measures.

  • Record financial transactions in QuickBooks and provide financial data to the outside bookkeeper for quarterly financial statements.

  • Perform additional responsibilities as assigned by supervisors.

  • Handle special projects and new responsibilities as needed.

Job Requirements:

  • Experience with QuickBooks Accounting Software.

  • Strong organizational skills and the ability to manage multiple tasks to maintain office order and organization.

  • Excellent communication skills, with the ability to interact clearly and confidently with clients, visitors, and vendors both verbally and in writing.

  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint for data entry, document creation, and reporting.

  • Attention to detail, ensuring accuracy in data entry, document preparation, and other administrative tasks.

  • Self-starter, highly motivated, and able to quickly identify and resolve issues in the office environment.

  • High school diploma or equivalent and at least 8 years of experience working as an Office Assistant or in a similar role with comparable duties and responsibilities.



Pay Details: $23.00 to $26.00 per hour
