Job Overview
The Office Manager in a warehouse setting is responsible for overseeing and coordinating office operations to ensure smooth administrative support for the warehouse and logistics functions. This role involves managing office staff, handling communication, maintaining records, and ensuring compliance with company policies. The Office Manager plays a crucial role in bridging communication between the warehouse floor, management, and external stakeholders. This role is ideal for a highly organized, efficient, and communicative professional who thrives in a fast-paced, dynamic environment. The Office Manager ensures the warehouse's administrative operations run smoothly, directly contributing to the company's overall productivity.
Responsibilities
Office Operations Management:
Oversee the day-to-day administrative functions of the warehouse office.
Maintain office supplies, equipment, and ensure all office systems are functioning properly.
Implement and improve office policies and procedures.
Communication:
Act as the primary point of contact between warehouse management, office staff, and external stakeholders.
Coordinate with vendors, suppliers, and external service providers.
Manage incoming and outgoing communications, including phone calls, emails, and mail.
Employee Coordination & HR Support:
Assist with hiring, onboarding, and training of office and warehouse staff.
Maintain employee records and assist in scheduling and payroll.
Coordinate employee timesheets, vacation requests, and attendance tracking.
Inventory & Documentation:
Assist in maintaining inventory records for office and warehouse supplies.
Organize and maintain filing systems, both physical and digital, for documents such as invoices, shipping records, and employee files.
Ensure accurate data entry in warehouse management systems (WMS).
Reporting:
Prepare regular reports on office performance, expenses, and operational efficiency.
Compile and submit financial data to accounting departments.
Assist the warehouse manager in preparing performance and productivity reports.
Compliance & Safety:
Ensure the office is compliant with company policies and relevant legal regulations.
Support the warehouse team in implementing safety protocols and maintaining OSHA compliance records.
Manage certifications, insurance, and vendor agreements.
Customer Service:
Handle inquiries and issues from customers or partners related to shipments, deliveries, and other warehouse activities.
Ensure all communication is professional and resolves issues in a timely manner.
Budget Management:
Assist in managing the office budget, monitoring expenses, and ensuring cost-efficiency.
Collaborate with the warehouse manager to forecast and allocate office-related costs effectively.
Skills, Knowledge, Experience & Qualifications
Education:
Bachelor's degree in Business Administration, Office Management, or a related field (preferred).
Experience:
Minimum of 3-5 years in office management or administrative roles, ideally in a warehouse or logistics environment.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience with warehouse management systems (WMS) or enterprise resource planning (ERP) software.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Problem-solving aptitude with a proactive approach.
Leadership and team management experience.
Knowledge:
Familiarity with logistics, inventory control, and warehouse operations.
Working Conditions:
Office located within a warehouse environment with frequent interaction with warehouse personnel.
May occasionally require physical effort, such as moving office supplies or walking the warehouse floor.
Standard working hours, with occasional overtime based on operational needs.
Salary is commensurate with experience.
