Job DescriptionJob DescriptionWe are in search of an Office Manager to join our team located in Agoura Hills, California. As an Office Manager, you will ensure the seamless operation of our office by supervising staff, organizing office procedures, and maintaining efficient office systems. You will also be tasked with managing customer inquiries, overseeing clerical functions, and ensuring accurate record keeping. This role offers a contract to permanent employment opportunity.

Responsibilities:
• Supervise and manage office staff, including recruitment, orientation, and training.
• Implement and maintain office systems and procedures to ensure efficiency.
• Accurately process customer credit applications and maintain customer credit records.
• Handle correspondence and design filing systems for effective record keeping.
• Review and approve supply requisitions, ensuring necessary resources are available for office operations.
• Prepare annual budgets and manage expenditures, initiating corrective actions where necessary.
• Monitor customer accounts and take appropriate action in response to customer inquiries.
• Manage invoices, cash receipts, and bank deposits, ensuring timely payment and accurate records.
• Provide clerical and administrative support to management as needed.
• Assist with travel arrangements for management.
• Ensure compliance with insurance and accounting audits.
• Utilize a range of software including Accounting Software Systems, ADP - Financial Services, Concur, CRM, Dentrix Dental Software, About Time, QuickBooks, among others, to effectively manage office operations.

• High school diploma, GED, or equivalent • Bachelor’s degree or equivalent experience preferred • 3-5 years’ experience in office setting • 1-3 years’ management experience a plus • Solid knowledge of office software such as Microsoft Outlook, Excel, and Word • Previous bookkeeping experience preferred • Experience in working with multiple legal entities under different legal umbrellas • Must know how to use QuickBooks software – Contractor’s Edition. • ** Spanish speaking is a plus.
