This is a dynamic role that combines customer service excellence, administrative support, and billing responsibilities, offering the opportunity to contribute to various areas of our operations.
Key Responsibilities:
Customer Service:
Respond to customer inquiries via phone, email, or live chat in a timely and professional manner.
Provide accurate information about products, services, and billing inquiries.
Resolve customer complaints or issues in a positive and efficient manner, ensuring customer satisfaction.
Maintain customer records and documentation within the CRM system.
Administrative Support:
Provide administrative assistance to various departments, including data entry, filing, and scheduling.
Organize and manage office supplies, inventory, and office-related correspondence.
Prepare and edit reports, presentations, and other business documents as needed.
Assist with office operations, such as coordinating meetings, organizing travel, and handling correspondence.
Billing and Invoicing:
Generate and send customer invoices based on services/products provided.
Monitor accounts for overdue payments and follow up with customers as necessary.
Assist with reconciling billing discrepancies and providing customer support related to payments.
Collaborate with the finance department to ensure accurate billing and accounting records.
General Office Support:
Perform general office duties such as answering phones, managing mail, and maintaining a clean and organized work environment.
Assist with special projects or tasks as directed by supervisors.
Qualifications:
High school diploma or equivalent (Associate’s degree or higher is a plus).
Minimum of 2-3 years of experience in customer service, administrative support, or billing.
Strong verbal and written communication skills.
Proficiency with office software (Microsoft Office Suite, Google Workspace) and experience with CRM and billing systems (e.g., QuickBooks, FreshBooks, or similar).
Excellent organizational skills and attention to detail.
Ability to work independently and as part of a team in a fast-paced environment.
A positive attitude with a problem-solving mindset.
