Job Summary

We are seeking a highly skilled and experienced Regional Office Administrator to join our team at D3 Search. As a key member of our Operations Team, you will be responsible for managing the day-to-day activities of our East Bay, Sacramento, and San Francisco offices.

Key Responsibilities
  • Supervise and Manage Staff: Directly supervise and manage staff in assigned offices, providing guidance and support to ensure the successful execution of their duties.
  • Office Support: Provide office support, including making recommendations for attorney/secretary assignments, coordinating staffing coverage, conducting staff meetings, and working with Firm leadership to resolve office conflicts.
  • Facilities Management: Maintain assigned offices, including overseeing the ordering and stocking of office supplies, as well as the ordering and repair of office equipment.
  • Safety Programs: Manage day-to-day safety programs for assigned offices, coordinating with building management and vendors as needed.
  • Employee Development: Participate in the hiring, on-boarding, and training of employees in assigned offices, as well as disciplinary and/or termination decisions.
  • Performance Management: Facilitate the development of staff by providing opportunities and support, providing timely feedback on work product, regularly coaching, evaluating, and recognizing staff performance and accomplishments.
  • Annual Reviews: Prepare and deliver annual reviews and provide input on bonus recommendations.
  • Leadership: Lead by example, establishing clear expectations, setting direction and priorities, ensuring that work levels are balanced among all staff, resolving internal staff issues in a timely manner, keeping staff informed of all appropriate information, and building effective teams.
  • Special Projects: May be assigned to lead, coordinate, and/or supervise special projects, such as coordinating office space and moves.
  • Employee Support: May provide support for employee administrative matters, including submitting parking contracts to building management and providing support for annual open enrollment activities.
Requirements
  • Detail-Oriented: Must be detail-oriented, organized, proactive, and have excellent follow-up skills.
  • Professionalism: Professionalism and ability to maintain confidentiality are must-haves.
  • Communication Skills: Excellent verbal and written communication skills, including the ability to apply good judgment and discretion.
  • Adaptability: Ability to work under pressure while managing a variety of tasks and multiple deadlines/priorities.
  • Accuracy: Demonstrated ability to execute duties and work at a high-level of accuracy and professionalism.
  • Flexibility: Demonstrated flexibility in adapting to changing work priorities and office/Firm needs.
  • Trust and Credibility: Ability to foster and maintain trust and credibility.
  • Independence: Ability to work independently, with minimal guidance, as well as part of a team.
  • Computer Proficiency: Strong computer proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint).
  • Law Firm Experience: Law firm experience is required.
  • Education: Bachelor degree or equivalent practical experience.
  • Leadership Experience: 3+ years of experience leading and directly supervising a team.
  • Office Management Experience: 3+ years in an office manager role preferred.
Compensation

Annual salary range is $175K to $215K (DOE/DOQ). Comprehensive health benefits package, generous PTO, 401K, paid parking onsite, annual salary increases, and lucrative bonuses (based on individual merit and performance) are also offered.
