Position Objectives:

The Financial Operations Specialist plays a crucial role in supporting the Controller, who oversees the comprehensive accounting functions of the JBFC, including general ledger management, financial reporting, budgeting, and internal controls.

Key Responsibilities:

  • Acts as the primary payroll administrator for JBFC, utilizing Paychex Flex and Paychex Time & Attendance. Manages, inputs, and maintains all payroll data, collaborating closely with HR as necessary. Works with supervisors of part-time staff to ensure the accuracy of attendance records, compliance with various statutory policies, and labor distributions within Paychex. Assists HR with the submission of bi-weekly employee contribution and deduction reports as required.
  • Oversees all aspects of Accounts Payable, including bill entry and payment processing within QuickBooks. Collaborates with department heads to obtain approval for all invoices, executes online bill payments, and assists with invoice coding.
  • Collaborates with the Programming department on weekly box office receipts and serves as the primary Accounts Payable liaison with film distributors.
  • Manages the daily operations of the finance office, including posting ticket, membership, and contribution revenue into the general ledger from the POS system (Tessitura/Adyen), reconciling discrepancies, processing online bank deposits, and posting relevant entries in the general ledger.
  • Works closely with the Development team to ensure proper documentation is provided for contribution revenue as needed.
  • Serves as the Program Administrator for American Express, distributing the monthly Amex statement to department heads, assisting with coding, and posting to the general ledger.
  • Prepares reports and schedules for the annual audit as requested by the Controller.
  • Assists with month-end and year-end closing processes, including bank reconciliations, posting miscellaneous journal entries, managing petty cash, and completing annual filings (1099, insurance filings, property tax filings, etc.).
  • Provides on-site support to JBFC staff as required.

Preferred Qualifications:

  • Familiarity with QuickBooks, particularly Enterprise 2022 Non-profit (preferred).
  • Experience with payroll systems, preferably Paychex.
  • Minimum of 1 year of experience in computerized payroll systems required, with direct experience in Paychex being a significant advantage.
  • Working knowledge of accounting software, with direct experience in accounts payable and receivable using QuickBooks (non-profit experience preferred).
  • Ability to work collaboratively as part of a team while also demonstrating independence and initiative.
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Engaging interpersonal skills and a high level of discretion.

Education: Bachelor's Degree in Finance/Accounting (preferred) or an Associate's Degree in Accounting (or equivalent experience).
