Job Title: Customer Experience Coordinator

Abacus is seeking a highly skilled and motivated Customer Experience Coordinator to join our team. As a key member of our front desk team, you will be responsible for providing exceptional customer service to our clients and visitors.

Key Responsibilities:
  • Greet clients and visitors in a professional and welcoming manner.
  • Answer incoming calls and transfer calls to the relevant department.
  • Inform sponsors and associates of client and visitor arrival.
  • Book meeting rooms and inform participants.
  • Ensure a neat and clean reception area.
  • Order supplies and maintain inventory.
  • Serve as a liaison between contract security personnel.
  • Schedule the use of conference rooms.
  • Collaborate and communicate with internal staff at all levels.
  • Monitor people coming and going through the reception doors.
  • Administer visitor badges for interview candidates, new hires, and clients.
  • Be aware of and report suspicious activity in the lobby or in front of the building.
  • Mark all returned badges as returned in the visitor log.
  • Maintain badge inventory and report missing badges.
  • Print out the Abacus welcome brochures and keep the brochure holder full.
  • Assist employees to their correct location.
  • Create a unique and positive experience for visitors.
  • Order office supplies for security.
  • Ensure backup when absent from the reception desk.
  • Enter safety concerns into the SQDC/EHS system using Entropy, spreadsheets, and email.
  • Assist in expediting the review/closure of safety concerns in Entropy.
  • Participate and support all required emergency drills.
  • Scan and upload files into the safety drive for EHS, as needed.
  • Assist in managing EHS documents maintained in the electronic document control system.
  • Coordinate work orders for safety and non-safety related items.
  • Schedule ergonomic assessments for Abacus employees.
  • Update the EHS calendar for nurse assessments, doctor's physicals, and other events.
Requirements:
  • Self-directed and self-motivated.
  • Knowledgeable and demonstrates high levels of customer service.
  • Proficient in MS Word, Excel, and PowerPoint, as well as SharePoint.
  • Maintains a positive attitude.
Education and Experience:
  • Bachelor's degree or related experience.
  • Experience working in a lobby environment or setting.
  • Experience with security protocols and practices.
  • Experience working in a GMP facility and familiar with GMP requirements.
  • Public speaking and engagement skills.
  • High levels of interdepartmental collaboration.
