Job Summary:

We are seeking an experienced and detail-oriented Administrative Assistant to join our team at the Florence Unified School District. As a key member of our school administration, you will provide critical support to our school administrators, conveying information about school functions and procedures, and supporting the diverse services we offer to students, parents, and instructional staff.

This is an 11-month position, with a salary range of $16.75 per hour (Grade D). Benefits are also included in this role. Successful candidates will have excellent organizational skills, be able to multitask, and possess strong communication skills.

The ideal candidate will have one to three years of experience as a school secretary or administrative assistant, preferably in an educational setting. If you are a motivated and organized individual who is passionate about education, we encourage you to apply for this exciting opportunity.

Key Responsibilities:

  • Prepare and distribute notices, memoranda, or correspondence to inform employees about activities, events, or work-related matters.
  • Assist in planning and scheduling school events and maintaining the calendar of school and student events.
  • Maintain documents, files, and records to ensure up-to-date references and compliance audit trails.
  • Prepare purchase orders for submission to the school district's accounting/finance office.
  • Maintain inventories of supplies and materials to ensure availability.
  • Assist visitors to the office, answer phone calls, and provide information to callers.
  • Distribute incoming mail appropriately and send outgoing mail.
  • Evaluate situations to take appropriate action or direct them to the relevant personnel for resolution.
  • Register new students by completing forms, obtaining transcripts, and entering data into the computer system regarding enrollment and student records.

Qualifications:

Any combination of education and experience that provides the required skills and knowledge for successful performance would be qualifying. Typical qualifications include high school graduation, some shorthand or speed writing skills, and successful experience with office management.
