Document Management Coordinator Role

The Document Management Coordinator is a key member of our team, responsible for processing and routing transactions with precision and accuracy.

Key Responsibilities:

  • Process and route transactions, including receipt, data entry, scanning, and indexing of documents.
  • Manage documents, including prepping incoming mail, grouping, indexing, and accurately linking related documents using applicable software programs and the Risk Management Information System (RMIS).
  • Prioritize and prep time-sensitive incoming items by scanning and accurately linking all related documents and routing immediately through use of applicable software programs on a daily basis.
  • Follow established procedures and escalate transactions to the Regulatory Claims Manager, as necessary, to address customer needs sufficiently.
  • Open departmental mail and prep it for scanning to the share drive.
  • Give priority to time-sensitive mail items, i.e., Petitions for Benefits, legal filings, and documents by uploading, linking, and routing them appropriately and immediately upon receipt.
  • Scan prepared mail documents daily by scanning into the share drive for uploading into the RMIS and linking.
  • Review each document image to ensure it was captured to the standards of quality necessary for viewing.
  • Correct document images if pages are upside down or unreadable.
  • Link document to established index keys so that documents are grouped in a logical order and accurately matched to the claim record to support claim decision making.
  • Route the indexed image into workflow within 24 hours of receipt to the proper destination; routing non-claim related documents to the appropriate department personnel.
  • Actively monitor the various queues for additional items received that need linking or correction.
  • Monitor email every hour for new incoming e-mail attachments that need to be processed and links and routes appropriately.
  • Monitor the share drive every two hours for incoming faxes, convert the documents using the Adobe Pro software, upload the documents into the RMIS linking document queues and links, indexes, and routes appropriately.
  • Monitor invoice dashboards to ensure documents have routed properly. Renaming of file name may be necessary to ensure they are in the appropriate dashboard.
  • Create checks from the two invoice queues when time permits or when requested.
