Clinical Research Coordinator

This position plays a vital role in supporting the clinical research team at DM Clinical Research. As an Administrative Assistant III, you will be responsible for providing exceptional customer care to patients participating in our clinical research trials while overseeing administrative workflows, monetary transactions, and managing the safe storage of gift cards and payments.
Key Responsibilities
- Check patients in at the front desk and ensure a smooth registration process.
- Answer and direct phone calls, providing timely and accurate information to patients and staff.
- Organize and schedule meetings for the site and staff, taking meeting minutes to ensure accurate records.
- Prepare and distribute emails, correspondence, memos, letters, faxes, and forms in a timely and efficient manner.
- Manage medical record requests and receipts, maintaining confidentiality and accuracy.
- Assist in the preparation of regularly scheduled reports, providing data-driven insights to support decision-making.
- Develop and maintain a filing system, ensuring easy access to critical documents.
- Provide administrative support to the site management and clinical staff, responding to their needs and requests.
- Properly and timely escalate all administrative issues to ensure resolution in a professional and efficient manner.
- Manage office supplies, shipping and receiving for non-clinical supplies, and office organization to maintain a productive work environment.
- Sanitize and prepare the patient lobby to ensure a clean and welcoming space.
- Assist in opening and closing the clinic as needed, ensuring a seamless transition.
- Manage participant stipends, including office visits, eDiaries, and safety calls.
- Schedule transportation for patients to and from the site, ensuring timely and safe transportation.
- Manage and communicate patient scheduling, site calendars, and office visits to ensure efficient use of resources.
- Order and cater lunch for patients and site staff when applicable, promoting a positive and inclusive work environment.
- Oversee the inventory of gift cards, payment methods, and other items, ensuring accurate tracking and management.
- Cash and money handling for AMEX and CRIO, maintaining accuracy and attention to detail.
- Oversee the workflow of Administrative Assistants, ensuring tasks are completed properly and efficiently.
- Ensure that all CRIO gift cards are accounted for and the AMEX tracker is accurate and up-to-date.
- Manage access to the safe where monetary forms are stored, maintaining security and confidentiality.
- Perform other duties and tasks assigned by the manager, demonstrating flexibility and adaptability.
Requirements
Education:
- High School Diploma or equivalent required.
- Associates Degree in Business Administration or similar, required.
- 3+ years of administrative assistant experience, required.
- Clinical Research experience, preferred.
- N/A.
- Proficiency with computer skills is required.
- Strong attention to detail.
- Must be reliable and have strong communication skills.
- Able to work in a fast-paced environment with the flexibility to handle various duties and projects at one time.
- Effective cash handling with no variances or deviations.
- Ability to manage and oversee multiple projects in a high-intensity environment.
- Excellent organizational skills to manage and oversee multiple projects and tracking systems.
- Effective data organization skills to ensure trackers are effective and efficient.
- Strong ability to prioritize daily tasks and requests.
