Project Assistant Job Description

We are seeking a highly organized and detail-oriented Project Assistant to join our construction team. As a key member of our operations team, you will provide critical support to our project managers and help ensure the smooth execution of our construction projects.

Responsibilities:
  • Provide administrative support to project managers, including scheduling meetings, preparing reports, and handling correspondence.
  • Organize project files and documents, ensuring that all necessary paperwork is properly filed and easily accessible.
  • Prepare and review project documents, including contracts, proposals, and project plans.
  • Maintain accurate and up-to-date project records, including financial records, project progress reports, and project schedules.
  • Perform data entry tasks, ensuring that all project data is accurately entered into our project management system.
  • Coordinate with project stakeholders, including clients, subcontractors, and suppliers, to ensure smooth project operations.
  • Assist with project scheduling, helping to ensure that project tasks are completed on time and within budget.
  • Support project procurement processes, including preparing purchase orders and tracking deliveries.
  • Help to ensure compliance with construction regulations and safety standards.
Requirements:
  • A minimum of 5 years of experience in a similar role, preferably in the construction industry.
  • Strong administrative skills, with a proven ability to handle a variety of administrative tasks efficiently and accurately.
  • Excellent organizational skills, with a keen attention to detail and the ability to manage multiple tasks simultaneously.
  • Experience in preparing and reviewing project documents, with a focus on accuracy and thoroughness.
  • Strong record keeping skills, with a proven ability to maintain accurate and up-to-date project records.
  • Proficiency in data entry, with a high level of accuracy and attention to detail.
  • Excellent communication skills, with the ability to effectively coordinate with a variety of project stakeholders.
  • Strong problem-solving skills, with the ability to anticipate and resolve issues proactively.
  • Knowledge of construction regulations and safety standards is a plus.
  • Proficiency in the use of project management software and other relevant computer applications.
