Job Summary

Alder & Ash is seeking a highly organized and detail-oriented Events Coordinator to join our team. As an Events Coordinator, you will be responsible for managing incoming event inquiries, guiding clients through the booking process, and coordinating the details of each event.

Key Responsibilities
  • Respond to all incoming event inquiries in a timely manner, providing excellent customer service and ensuring a seamless experience for clients.
  • Convert inquiries into confirmed bookings by discussing event details, providing information on available options, and securing necessary documentation.
  • Follow up with potential clients to move leads through the sales funnel, ensuring all relevant information is captured and tracked.
  • Prepare and send contracts for events, ensuring all necessary details are outlined and deposits are collected as required.
  • Develop event orders, including guest counts, room setup, and menu selections, to meet client specifications.
  • Coordinate with internal teams and external vendors to finalize event details, ensuring all aspects of the event are planned and executed smoothly.
  • Serve as a point of contact during events, addressing client needs and resolving any issues that arise.
  • Follow up with clients post-event to gather feedback and ensure a positive experience.
  • Maintain accurate records of all inquiries, leads, and confirmed bookings using event management software.
  • Generate and send weekly and monthly reports on event sales, lead conversion rates, and other key metrics to management.
Requirements
  • Previous experience in event sales, coordination, or a related role.
  • Strong communication and interpersonal skills, with a customer service orientation.
  • Knowledge and proficiency in various event management software, Point of Sale systems, and reservation systems.
  • Excellent organizational skills and meticulous attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Ability to work flexible hours, including evenings, weekends, and holidays.
Benefits
