Job Summary

The Carle Eureka Operating Room is seeking a highly skilled and organized Surgical Secretary to provide administrative support to our team. As a key member of our perioperative team, you will be responsible for maintaining the cohesiveness of day-to-day office functions and operations.

Key Responsibilities
  • Provide secretarial and office management functions to maintain a smooth operation of the department
  • Generate administrative reports, correspondence, and other documents as needed
  • Maintain calendars, schedule meetings, arrange appointments, and provide necessary documents for use in scheduled meetings
  • Disseminate information to appropriate individuals inside and outside the division to ensure facts are communicated properly
  • Update and maintain department phone trees and RAVE alert system for the division
  • Conduct research, gather and provide information, and evaluate sources or the application of regulations and procedures to specific cases
  • Identify and recommend areas for improvement with relevant processes and operating procedures
  • Learn and utilize new software applications as appropriate
  • Complete facility, IT, BIOMED, Telecom work orders as instructed
  • Track anesthesiologist on-call pay tracking and route to accounting department
  • Perform and create department audits as assigned
  • Provide support for tracking DNV action plans
  • Provide backup support for the OR Schedulers and Billers
  • Create agendas and take minutes for Perioperative Executive Committee, Robotics Executive Committee, Anesthesia Physician monthly meeting, and operating room monthly meeting
  • Create PowerPoint, Excel, and Word documents to support Perioperative business plans, capital, and facility projects
Requirements
  • One (1) year experience providing secretarial and office duties
  • Excellent interpersonal, communication, time management, and organizational skills
  • Ability to plan, prioritize, and complete multiple projects/tasks under stress with frequent interruptions and meet deadlines
  • Must be able to project a professional, pleasant image while interacting with a variety of personalities and cultures, demonstrate tact and diplomacy in interactions, and maintain and respect confidentiality
  • Familiarity and working knowledge of computer applications, including Word, Excel, PowerPoint, and Visio
  • Knowledge and structure of the English language, including the meaning and spelling of words, rules of composition, and grammar
