About the Role:


The Niskayuna Central School District seeks a highly skilled and experienced Administrative Professional to fill the position of Executive Secretary II in its Business Office.



Job Summary:



We are looking for an exceptional candidate who can provide administrative support to the Assistant Superintendent of Business & Operations, ensuring seamless day-to-day operations and delivering high-quality services to our stakeholders. As an Executive Secretary II, you will be responsible for performing a wide range of complex and confidential secretarial duties, including establishing office procedures, implementing policies, resolving operational issues, and coordinating administrative activities.



Duties and Responsibilities:



  • Serves as secretary and office manager to the Assistant Superintendent of Business & Operations
  • Assists in the development of the district's budget by collecting financial and statistical data, organizing and compiling it for analysis
  • Screens telephone calls and responds to inquiries; relieves the department head of office detail by making appointments and referring calls
  • Answers requests for administrative information and prepares office reports; opens, reviews, sorts, and distributes mail
  • Organizes and coordinates administrative action, including handling correspondence and drafting responses; researches background information
  • Plans and schedules workloads for timely completion; designs and maintains office files; schedules meetings and maintains calendars
  • May operate word processing equipment in daily tasks; performs related duties as required


Requirements:



To be successful in this role, you must have:



Qualifications:



  • Graduation from a regionally accredited or New York State registered two-year college or university with an Associate's Degree in Secretarial Science or a related field and three years of clerical experience; or
  • Graduation from high school or possession of a high school equivalency diploma and five years of clerical experience; or
  • An equivalent combination of training and experience as defined by the limits above


Additional Requirements:



  • Able to type at a rate of at least 35 words per minute
