Job Description

The Administrative Assistant Specialist will be responsible for performing a variety of administrative duties with a broad scope and complexity, requiring independent judgment and familiarity with applicable procedures. The ideal candidate will possess effective interpersonal, verbal, and written skills to interface at all levels of the organization.

This role involves administering and processing customer purchase orders by reviewing flow down instructions for product requirements to existing terms and conditions of purchase orders or maintenance agreements.

The successful candidate will establish and maintain relationships with customer-facing teams through courteous and efficient servicing of customer requests, maintaining regular communication with customer-facing teams, and responding to external customer service issues.

Key responsibilities include preparing and submitting correspondence in response to customer requests, maintaining an appropriate level of confidentiality regarding customer and company matters, generating and processing standard spares quotes in a timely manner, coordinating with price estimating, reviewing pricing for reasonableness, submitting quotations/proposals for customer review, and releasing repairs to production when customer approval is received.

The ideal candidate will also manage customer portals, including downloading purchase orders, updating purchase order status, and expediting requests. Additionally, they will set priorities and procedures for accomplishing work, delegate portions to others as needed, collect data, conduct research, compile information using mathematical calculations for reports and projects, and communicate potentially negative situations to management in a constructive manner.

Required Skills and Qualifications
  • Minimum of three years of increasing complexity of administrative duties related office experience or demonstrated ability to perform described responsibilities
  • High School diploma or education certificate in applicable functional area preferred
  • Working knowledge of R-Card preferred
  • MSS knowledge is preferred
  • WAWF knowledge is preferred
  • CAV knowledge is preferred
  • Thorough knowledge of office equipment, administrative procedures, and/or terminology in functional area
  • Ability to accurately record meeting proceedings where applicable
  • Proficient with Microsoft Suite software
  • Effective verbal, written, and interpersonal communication skills
  • Ability to work effectively with others and be a participative team player
  • Excellent Microsoft Excel skills, including formula, VLOOKUP, and pivot table

Estimated Salary: $25 - $30 per hour
