Job Overview:

The primary objective of this role is to ensure a well-structured office environment in alignment with organizational policies and procedures. The Front Desk Clerk will be tasked with the care and support of clients and visitors, facilitating interactions with family members, and assisting clinical personnel in optimizing clerical operations.

Qualifications and Skills:

  • High school diploma or equivalent
  • Exceptional customer service abilities and a client-focused mindset
  • Experience with telephone systems or switchboards
  • Basic understanding of substance abuse issues
  • Strong organizational skills and the ability to manage multiple tasks
  • Effective communication skills, both verbal and written
  • Ability to work independently as well as collaboratively within a team
  • Proficient in Microsoft Word, Excel, and Outlook
  • Typing speed of at least 35 words per minute, with ten-key experience

Key Responsibilities:

  1. Adhere to scheduled work hours and be available for additional hours as necessary, including potential overtime.
  2. Manage incoming calls and direct them appropriately.
  3. Welcome clients and visitors, processing payments as required.
  4. Maintain accurate scheduling logs, including referrals and intake appointments.
  5. Conduct financial interviews with clients and ensure their information is updated in the database.
  6. Review documentation for accuracy and scan into the electronic health record (EHR) system.
  7. Handle internal and external mail distribution.
  8. Input data and generate reports as assigned.
  9. Review clinical data and report any discrepancies to supervisors.
  10. Support the office team as needed.
  11. Comply with the principles outlined in the Corporate Compliance Program and Code of Ethics.
  12. Deliver outstanding customer service consistently to all clients.
  13. Act as a role model for staff, patients, and customers, demonstrating positive relations.
  14. Take on additional responsibilities as assigned by management.

Physical Requirements:

  • Vision: Ability to read printed and handwritten materials (75-100%)
  • Hearing: Must be able to hear well enough to communicate with coworkers and answer phone calls (50-79%)
  • Mobility: Ability to move between departments (25-49%)
  • Physical Activity: Ability to lift or move objects weighing up to 20 pounds occasionally (25-49%)
  • Keyboarding: Proficient use of keyboard for computer work (50-74%)
  • Sitting: Ability to sit for extended periods while using a computer (50-74%)
