Business Coordinator Job Description

Job Summary

We are seeking a highly organized and detail-oriented Business Coordinator to provide administrative support to various departments within our organization. The successful candidate will possess excellent communication skills, a working knowledge of the Oil and Gas Industry, and the ability to maintain confidentiality.

Key Responsibilities
  • Provide administrative support to various departments, including general office duties and project work as assigned by Supervisor.
  • Answer phones, perform receptionist duties, and triage calls between intra-company departments.
  • Input invoices and documents as required, and assemble and process overnight shipments to satellite locations, customers, vendors, etc.
  • Create and modify documents using Microsoft Office, Sage Timberline, and other company software.
  • Maintain hard copy and electronic filing systems, and coordinate meetings and conferences.
  • Support staff in assigned project-based work, and provide support to the Payroll, HR, Billing, and other company departments as required.
  • Set up accommodation and entertainment arrangements when requested, and perform general office duties such as mailing, filing, scanning, and copying.
  • Receive, direct, and relay telephone messages, including fax messages, emails, etc.
  • Direct company visitors to the appropriate GFS employee, and pick up and deliver regular and interoffice mail.
  • Research, price, purchase office supplies, and maintain the general filing system and file all correspondence.
  • Assist in the planning and preparation of meetings, conferences, and conference telephone calls, and maintain an adequate inventory of office supplies.
  • Redirect calls as appropriate, and take adequate messages when required.
Requirements
  • Associate or Bachelor's Degree helpful but not required.
  • Minimum of two years of relevant experience.
  • Excellent communication skills and the ability to work successfully with a wide variety of people at different levels within the organization.
  • Working knowledge of the Oil and Gas Industry.
  • Ability to keep company proprietary information confidential.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Strong computer skills (Microsoft Office Suite) and above-average math skills.
  • Detail-oriented with strong organizational skills.
Work Environment

Work primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use; frequent stressful conditions (cardiovascular).
