Job Overview

We are seeking a highly organized and detail-oriented Part-Time Site Coordinator to join our team at Happier People Management in Brooklyn, New York. As a Part-Time Site Coordinator, you will play a crucial role in managing various departments, ensuring compliance with venue regulations, and maintaining a high level of client satisfaction.

Key Responsibilities
  • Administrative Tasks: Utilize your knowledge of Google Suite and Microsoft Office to manage event documentation, client communication, and reports.
  • Financial Transactions: Effectively operate Square Point of Sale and Toast Point of Sale systems to oversee financial transactions, inventory management, and sales reconciliation.
  • Department Management: Manage and coordinate multiple departments, including food service, bar operations, and event logistics, ensuring smooth collaboration and efficient execution.
  • Compliance and Safety: Maintain a deep understanding of venue compliance requirements, DOH, health and safety regulations, fire codes, and liquor laws to ensure all activities are conducted within legal boundaries.
  • Client Relationship Management: Demonstrate exceptional client relationship management skills, addressing client inquiries, needs, and concerns promptly and professionally.
  • Collaboration and Communication: Collaborate closely with department heads to streamline processes, allocate resources effectively, and optimize overall operations.
  • Staff Management: Ensure all staff members are well-informed, trained, and aligned with the event goals and client expectations.
  • Problem-Solving: Exercise your problem-solving skills to proactively address any operational challenges and unexpected issues during events.
  • Event Experience: Uphold a positive and welcoming atmosphere for guests, promoting a memorable experience and fostering a sense of community.
  • Event Logistics: Leverage your experience to ensure a seamless event flow, from setup to breakdown, while adhering to established timelines.
  • Vendor Collaboration: Collaborate with event planners and vendors to meet specific event requirements and exceed client expectations.
  • Food Safety: Utilize your knowledge of food handling regulations to uphold health and safety standards.
Requirements
  • Positive Attitude: Positive attitude, excellent interpersonal skills, and a proven track record of exceptional customer service.
  • Technical Skills: Proficiency in Google Suite, Microsoft Office, Square Point of Sale, and Toast Point of Sale systems.
  • Experience: Demonstrated understanding of multi-departmental management, with 2 years of Venue coordinator experience.
  • Organizational Abilities: Strong organizational abilities, attention to detail, and the capacity to manage concurrent tasks effectively.
  • Problem-Solving Skills: Excellent problem-solving skills and the ability to make informed decisions under pressure.
  • Communication Skills: Strong verbal and written communication skills for effective collaboration with clients, vendors, and team members.
  • Compliance: Ability to maintain compliance with venue regulations, health and safety standards, and liquor laws.
  • Flexibility: Flexibility to work part-time hours, including evenings and weekends, based on event schedules.
