Operations Specialist

Vaco is seeking an experienced administrative professional to join our dynamic team. As the face of our administration and front office, this role requires a variety of administrative and clerical tasks. Duties include providing support to the entire office team, greeting visitors in a professional and polite manner, phone reception, calendar management, and additional clerical activities. This position reports to the Regional Operations Manager.

Key Responsibilities:
  • Provide administrative support to the office team, including answering phone calls, responding to emails, and managing calendars.
  • Manage the front office, including greeting visitors, handling mail and packages, and maintaining a clean and organized workspace.
  • Assist with special projects, such as preparing reports, coordinating travel arrangements, and ordering office supplies.
  • Develop and maintain a filing system, including both physical and digital files.
  • Update and maintain office policies and procedures, ensuring compliance with company standards.
  • Act as the point of contact for internal and external clients, providing excellent customer service and support.
Requirements:
  • Minimum of 3 to 5 years' experience in administrative support or a related role.
  • Proficient in Microsoft Office suite and database knowledge.
  • Experience within staffing, consulting, or HR highly desired.
  • Strong work ethic and availability after hours as needed.
  • Bachelor's Degree Desired.
