Position Summary

The Community Operations Support Specialist plays a vital role in assisting with the daily functions and sales efforts within the community, emphasizing exceptional customer service, resident retention, and administrative tasks. All responsibilities are executed in alignment with the objectives and values of Cambio Property Management LLC.

Key Responsibilities

Your Role Includes:

The selected candidate will collaborate closely with the operations team to carry out the following essential functions:

  • Build strong relationships with residents and potential residents, addressing community feedback, suggestions, and concerns, and relaying them to the appropriate management personnel.
  • Draft and disseminate communications to residents and the community, including rule reminders, violation notices, and lease-related documents.
  • Assist in the daily operations of the community, focusing on customer service, resident interactions, vendor communications, and rent collection.
  • Support the Community Manager in boosting occupancy through home sales, leasing efforts, and effective community marketing.
  • Maintain consistent communication with vendors regarding scheduling, billing, and insurance documentation.
  • Contribute to the formulation of marketing strategies by analyzing local market trends and competitive landscapes.
  • Ensure the community's aesthetic appeal and oversee timely repairs through regular inspections and tours.
  • Adhere to local regulations and promptly address resident inquiries to enhance satisfaction.
  • Accurately forecast and report on occupancy and sales metrics.
  • Participate in virtual meetings and collaborate with colleagues through digital platforms.
  • Flexibility in working hours may be required, including evenings and weekends.
  • Conduct lease transactions by preparing necessary documentation and guiding new residents through the leasing process.
  • Facilitate lease signings and orientation for incoming residents.
  • Ensure compliance with federal, state, and company policies and procedures.
  • Provide support in the absence of the Community Manager.
  • Other responsibilities as assigned.

Qualifications

Required Skills and Experience:

  • High school diploma or equivalent (GED).
  • Experience in property management is preferred.
  • Minimum of two years in an administrative role.
  • Strong communication skills, both written and verbal.
  • Proficient in various administrative tasks, including customer service and problem-solving.
  • Familiarity with MS Office and property management software such as Yardi or Rent Manager is advantageous.
  • Valid driver's license and a clean driving record are required.
  • Reliable transportation and a personal mobile phone are necessary.
  • A proactive attitude with a willingness to learn and adapt.
  • Professional appearance and demeanor at all times.

Supervisory Responsibilities

  • May supervise on-site staff.
  • Responsible for hiring, training, and performance evaluation of employees.
  • Address employee concerns and manage workplace issues in accordance with company policies.

Physical Requirements and Work Environment

  • Regularly required to sit, stand, and walk.
  • Occasionally required to climb, bend, or kneel.
  • Frequent use of hands and fingers for various tasks.
  • Occasional exposure to outdoor weather conditions.
  • Ability to lift and move items weighing more than 20 pounds.
