Administrative Assistant III

We are seeking an experienced Administrative Assistant III to provide high-level administrative support to senior-level managers and other staff. The successful candidate will possess excellent communication and organizational skills, with the ability to work independently and as part of a team.
Key Responsibilities- Provide administrative support to senior-level managers and other staff, including composing routine correspondence, proofing memorandums and documents, and preparing presentations.
- Use multiple software packages to prepare memorandums, spreadsheets, and presentations, and respond to staff and customer inquiries.
- Maintain staff calendars, schedules meetings, and makes and cancels appointments.
- Schedule rooms for classes, meetings, conferences, and other events.
- Use spreadsheets or databases to organize information and produce standard reports.
- Create simple spreadsheets and maintain databases.
- Create and prepare a wide variety of forms.
- Provide administrative services at SWMP field site locations as needed.
- Monitor and update the agency's emergency response system in the event of an emergency.
- Function as a dispatch operator in the operation of a two-way radio.
- Monitor a Fleet Tracking (DriveCam Automatic Vehicle Location) system.
- Perform data collection in a field-based environment.
- Perform basic human resources and payroll functions, including entering payroll time entry in FOCUS and verifying completeness/accuracy of time entered.
- Train employees on how to enter on-line time.
- Provide basic employee payroll and benefits information.
- Perform general financial and accounting functions, including document processing and analysis of financial activities.
- Perform basic calculations and reconciliations.
- Order goods or services and ensure appropriate routing and approval of purchase requests.
- Verify requests for goods and services against county contracts and funding sources.
- Reconcile receipts or accounts receivables/payables.
- High school graduation and two years of experience providing administrative support in the assigned functional area(s).
- Ability to input, access, and retrieve information from a computer.
- Ability to lift up to 25 pounds without assistance.
- Ability to negotiate and traverse property sites that may be undergoing construction or where uneven terrain exist.
- Ability to work in adverse weather conditions and temperatures.
- Able to perform repetitive hand, arm, wrist and shoulder movements.
- Manual dexterity needed to handle various types of materials and perform routine tasks.
- Ability to effectively communicate verbally or in writing.
A panel interview and may include exercise.
