Medical Secretary

As a Unit Secretary at Ashe Memorial Hospital, you will play a vital role in providing exceptional patient care and ensuring the smooth operation of our Medical Surgical Nursing Department. Your primary goal will be to prepare and compile accurate medical records, answer telephone and intercom calls, and provide information or relay messages to patients and nursing staff.
Key Responsibilities- Prepare and maintain complete medical records
- Process physician's orders in the computer system accurately and in a timely manner
- Notify nurse of any stat orders
- Assume professional responsibility and function effectively in a group to ensure completion of all patient care activities
- Obtain appropriate nursing staff to assist patients/physicians in the care of the patient
- Treat patients and their families with respect and dignity
- Adhere to safety policies
- Interact professionally with physicians, patient/family, and co-workers
- Make appointments for discharged patients with physician's office
- Fax lab and radiology requests to Outpatient Scheduling Department for patient follow-up after discharge
- Maintain a good working relationship both within the department and with other departments, promoting teamwork
- Documentation meets current standards and policies
- Communicate appropriately and clearly with Director of Inpatient Services, House Supervisor, co-workers, physicians, visitors, and family members
- Answer telephone/intercom in a polite and professional manner, communicating information to the appropriate personnel
- Consult other departments as appropriate to provide for an interdisciplinary approach to the patient's needs
- Complete requisitions of secretarial supplies as designated by Clinical Leader
- Manage and operate equipment safely and correctly
- Obtain licensed nurse when family requests communication regarding patient's condition beyond the Unit Secretary's scope of practice
- Check charts daily, add physician order forms and progress notes as needed
- Notify maintenance department and Clinical Leader of any equipment not in proper working order; complete work order as necessary
- Utilize initiative; strive to maintain a steady level of productivity; self-motivated
- Assist in the coordination of patient transfers both in the facility and to other facilities
- Keep informed of patient's condition and whereabouts when patient is out of room
- Consistently complete and maintain assigned duties, complete other duties as assigned
- Ensure confidentiality of patient's records and information regarding patient's hospitalization
- Perform discharges, transfers, admitting or discharging of telemetry patients; change in computer correctly in a timely manner. Also maintain telemetry log book
- Use time productively
- Adhere to the Studer AIDET customer services principles: Acknowledge, Introduce, Duration, Explanation, Thank You
- Attend staff meeting and in-services
- Adhere to attendance policy
- Use computerized punch system correctly to accurately record working hours
- One year of secretarial experience in the medical field preferred
- Understanding of medical terminology
- High school graduate or equivalent preferred
- Current BLS Certification
- Current Certified Nursing Assistant Certification in State of NC preferred
Must be willing to receive all required vaccinations (i.e., flu shot, etc.). All new employees working must be fully vaccinated as a condition of employment (unless the new hire has requested and received an exemption). Candidates for employment will be notified of this policy requirement prior to the start of employment. After receiving an offer of employment, new employees must provide proof of vaccination or request and receive an exemption before beginning work.
