Job Overview

We are seeking a highly skilled and experienced Office Manager to lead our administrative team in a fast-paced medical practice environment. The selected candidate will be responsible for overseeing daily operations, supervising staff, and ensuring a professional workplace.

Key Responsibilities

  • Manage daily operations and personnel in a medical practice setting while maintaining a professional workplace.
  • Supervise and lead office staff to achieve optimal performance and client satisfaction.
  • Schedule and coordinate patient appointments to optimize facility efficiency and client satisfaction.
  • Create and update patients' electronic health records, ensuring accuracy and compliance with medical regulations.
  • Record and update personal and financial information, maintaining confidentiality and data integrity.
  • Order and manage medical and office supplies to ensure a well-stocked and efficient work environment.
  • Design and implement office policies and procedures to streamline operations and improve productivity.
  • Oversee and manage all paperwork for patient care, medical compliance, and reporting, ensuring accuracy and timeliness.
  • Assist with CAIPA administration, including population management initiatives.
  • Ensure positive collaboration between doctors, medical, and office staff to achieve a cohesive and productive work environment.
  • Supervise cleaning staff and coordinate maintenance activities as needed.
  • Orient, train, and mentor medical practice personnel to ensure a high level of competence and job satisfaction.
  • Arrange informational materials for patients, ensuring clear communication and understanding of medical procedures and policies.
  • Ensure adherence to healthcare laws, rules, and regulations, maintaining a compliance-focused work environment.
  • Maintain total confidentiality of personal and financial data, upholding the highest standards of professionalism and ethics.
  • Collaborate with the Clinical Documentation Improvement team and Billing team to manage and troubleshoot claims and documentation queries.
  • Willingness to travel for meetings, training, or other work-related purposes.

Requirements

  • Client Service Oriented (both internal and external)
  • Demonstrated poise, tact, diplomacy, and good judgement
  • Detailed oriented, excellent organizational abilities
  • Strong Written and oral communication skills
  • Ability to interact and communicate with individuals at all levels of organization
  • Strong interpersonal skills able to handle sensitive situations and confidential information
  • Ability to multi-task and prioritize workload in a fast-pace environment
  • Technology competency with electronic software needed for role
  • Proficiency with Microsoft Office Suite, especially Excel and Word

Minimum Qualifications

  • Previous working experience as a Medical Office Manager for 1+ year(s)
  • Fluent in Chinese
  • MA in Healthcare Administration, Business, or similar relevant field preferred
  • Hands on experience with accounting and administrative operations
  • In-depth knowledge of medical procedures, operations, and terminology
  • Excellent organizational and time-management skills
