Job Title: Executive Assistant to SVP of Aviation Engineering

About the Role:

This is an exciting opportunity to join our dynamic team as a Senior Administrative Assistant providing top-tier support to our SVP of Aviation Engineering in Los Angeles. As a proactive problem-solver with exceptional organizational skills, you will manage schedules, coordinate high-profile meetings, and ensure seamless operations within our fast-paced engineering team.

Responsibilities:
  • You will report directly to the SVP of Aviation and be responsible for managing their calendar, business communications, expense reports, invoices, and accounting items.
  • Meet with the SVP daily to discuss calendar items and ensure a smooth workflow.
  • You will monitor incoming emails (200-300 daily), respond to requests as required, create/manage calendar appointments and conflicts, and flag emails for the SVP's review.
  • Draft time sheets for review and submission.
  • Coordinate family health insurance, submissions, forms, and broker interactions.
  • Support TYLin Integration activities, assist in material production, and help with event planning.
  • May represent Aviation at industry events and client meetings in the Los Angeles area.

Requirements:
  • 3-5+ years of experience in a similar role, ideally in a fast-paced environment.
  • Prior experience in architecture, engineering, construction, or design would be beneficial.
  • Must exercise discretion when working with sensitive materials.
  • Proficiency in MS Office Suite is required.
  • Strong organizational and time management skills are essential.
  • Able to learn new systems and processes quickly.
