Business Administrator

Seeking a highly skilled Business Administrator to provide primary secretarial support to the Director of Facilities and Maintenance at Chesterfield County Public Schools. In this role, you will perform complex administrative work within established procedures and standard practices to multiple departments.
Key Responsibilities:- Administrative Support: Provide high-level administrative assistance to the Director of Facilities and Maintenance, ensuring the efficient operation of the Facility Services office.
- Shared Documentation Management: Manage and update shared Google Docs for all Facility Services contacts, including the organizational chart, Building Operations Supervisors, Day Porters, and updated lists of school principals.
- Maintenance Coordination: Complete work orders in the Maintenance Direct system as requested from various schools.
- Needs Assessment: Anticipate departmental needs without specific instruction by asking relevant questions to secure necessary information.
- Scheduling and Meetings: Screen visitors and telephone calls, respond to inquiries via phone and email, schedule meetings, and arrange candidate interviews through the NeoGov office system.
- Meeting Room Coordination: Coordinate meeting rooms for large and small gatherings of Facilities and Maintenance staff.
- Time and Attendance Management: Manage time and attendance for over 100 staff members, submit data to payroll for processing, review, and submit corrections as needed.
Maintain courtesy funds for Facility Services, keep track of balances, and make bank deposits as necessary. Prepare and submit reimbursement requests to County Accounting for required training and licensure requirements for staff.
Decision Making and Work Environment:Functions independently under general supervision, utilizing computer and basic office equipment while establishing and maintaining working relationships with other offices, schools, and governing agencies.
Requirements:- Education and Experience: Extensive knowledge of office practices and procedures, automated office systems, departmental policies and procedures, and supervisor responsibilities.
- Computer Skills: Excellent computer skills, including a working knowledge of various software.
- Communication and Interpersonal Skills: Ability to communicate effectively both orally and in writing, exercise judgment, and work successfully with all levels of the organization and the public.
The estimated salary for this position is between $41,144.00 and $69,929.00 annually, depending on experience.
