Job Summary

We are seeking an experienced Administrative Specialist to support the Department Head with daily tasks, assist with the Promotion and Tenure process, and process hiring for all department positions in UGAJobs.

Key Responsibilities
  • Manage the Department Head's calendar, schedule meetings, and coordinate Zoom meetings.
  • Process position requests, posting requests, and hiring proposals in UGAJobs for all Department positions on the Athens campus.
  • Coordinate HR-related tasks for hiring new faculty, staff, student workers, and graduate students.
  • Provide administrative support for the Plant Disease Clinic, including receiving samples and payments, entering diagnostic sample submission forms into the database, and communicating with county offices.
  • Organize and digitize Department files, assist with travel arrangements for guest speakers and students, and complete annual inventory on behalf of the department.
  • Assist faculty, staff, graduate students, and undergraduate students with daily office needs, manage the department's laptop rental program, and provide access to training through eLC.
  • Assign departmental keys, office and lab space, and oversee the assignment of mailboxes, building access, and telephone services.
  • Purchase office supplies through UGAMart, renew maintenance agreements for equipment, and receive and send mail and packages.
  • Coordinate with Central Research Store deliveries, prepare work orders through Facilities Management, and maintain departmental inventory.
  • Supervise student workers in the main office, delegate tasks, manage availability, and approve or correct time sheets.
  • Maintain CAES personnel database for Plant Pathology, work with the webmaster to keep the department's website up-to-date, and coordinate all Athens-based departmental vehicles.
Requirements
  • Requires at least a high school diploma or equivalent.
  • Thorough knowledge of how the University of Georgia operates, including policies and procedures of the College and Department.
  • Ability to effectively manage multiple and competing priorities.
  • Thorough knowledge of management practices and principles.
  • Thorough knowledge of budgetary policies and procedures.
  • Understanding of and ability to process information using various university online programs.
