This role is responsible for assisting with the management of a clinical practice in a busy academic clinical department. Key responsibilities include:

  • Triage and respond to internal and external customer inquiries, providing accurate information and resolving issues in a timely manner.
  • Obtain procedural and medical authorizations, prepare and process billing, and prepare and process correspondence.
  • Retrieve and process incoming medical records/images, ensuring scanning and physician review is completed.
  • Coordinate diagnostic testing and other evaluations, ensuring completion before visits if applicable.
  • Assist attending physicians with outpatient office hours, maintaining clinical schedules and ensuring necessary dates are closed.
  • Travel to clinic locations as needed.
  • Coordinate procedures prior to scheduling surgery, including scheduling ancillary tests, pre-operative testing, and other necessary evaluations.
  • Process medication refill requests, triaging to appropriate clinical staff.
  • Coordinate and schedule cases with medical equipment representatives as required.
  • Complete medication authorizations and obtain prior authorizations for procedures.
  • Schedule tests, procedures, and other clinical follow-up services as requested by providers.
  • Complete medical records requests.
  • Answer and screen all phone calls and patient inquiries, taking appropriate messages and delegating to staff as needed.
  • Maintain multiple calendars, clinical schedules, surgery/procedure schedules, on-call and office hours.
  • Maintain physician Epic templates.
  • Schedule travel and lodging for physicians and complete submissions of expenses for travel and other professional expenses.
  • Coordinate visits for visiting scholars.
  • Billing duties include ensuring operative reports and encounter forms are turned in for billing within designated timeframes.
  • Maintain comprehensive knowledge of reimbursement coverage from third-party payers, managed care plans, and protocols for referrals.
  • Ensure all pre-registration items are completed to allow for timely and complete billing.
  • Special projects include training staff and mentoring new team members.
  • Perform duties in accordance with Penn Medicine and entity values, policies, and procedures.
  • Other duties as assigned to support the unit, department, entity, and health system organization.

Requirements include 4+ years of medical office experience or 4 years of customer service experience, with related clinical office experience required. Prior customer service or insurance verification experience in a healthcare setting is preferred. A degree (Associate's, Bachelor's, Master's) may be considered in lieu of experience.
