Job Description
Primary Responsibilities
- Serve as the primary liaison between senior executives and other managers, staff, and stakeholders.
- Coordinate workflow, managing multiple critical issues within a continuously adapting schedule for assigned senior executives.
- Provide support to government staff, maintaining awareness of internal structural levels and hierarchy within the organization.
- Perform comprehensive range of direct executive office support for designated senior executives.
- Maintain schedules, determining importance of issues for each meeting and following protocol procedures for contacting principals.
- Anticipate and research topics of interest to senior executives, preparing background books and/or talking points papers as needed.
- Monitor and coordinate systemic impacts of e-mail for action items, creating systems to generate reminders of completion deadlines.
- Assist senior executives with complex executive office support functions involving contact and exposure to highly critical, sensitive, and confidential information.
- Draft and prepare non-routine letters, memos, documents, and reports requiring comprehensive knowledge of Agency methods, policies, regulations, procedures, and organization.
- Answer phones, place, screen, and refer calls to appropriate Agency resources, taking messages and following up accordingly.
- Prepare visitors' security clearances and escort them as needed.
- Research and prepare background information and/or talking points papers on meeting attendees and/or topics of interest.
- Disseminate executive schedules to staff, acting as liaison between senior executives and others.
- Receive, sort, and screen incoming mail; categorize and prioritize responses needed.
- Summarize lengthy correspondence, highlighting key issues, topics, or sentences; follow up to ensure proper and timely action taken.
- Develop and maintain accurate records and files management systems.
- Make appointments, travel arrangements, and itineraries; assemble or ensure that packets of information or briefing materials are prepared.
- Accurately prepare expense statements and inform senior executives of problems that arise during absences.
- Maintain efficient office environments, ordering supplies, arranging for equipment repair, installing software, or participating in office renovation projects.
Requirements and Qualifications
- Position requires active Top Secret/SCI with Polygraph clearance.
- Bachelor's Degree and a minimum of five years of relevant administrative professional experience, or a minimum of nine years of relevant experience.
- Minimum one year of experience working within the IC performing Contractor Performance Requirements listed in this SOW for this labor category.
- Demonstrated successful use of MS Office Suite applications at Advanced level to complete routine to highly complex tasks.
- Excellent oral and written communication skills sufficient to compose and deliver responses to customers' routine to highly complex questions in a clear and concise manner.
- Excellent customer service skills, demonstrated by anticipating and responding to senior executives' requirements.
- Analytical skills sufficient to assess and interpret highly complex information from multiple sources and draw insightful conclusions.
Compensation and Benefits
- The estimated salary range for this position is $93,500 - $126,500, based on experience, geographic location, and contractual requirements.
