Administrative Support Specialist

Senior Helpers is seeking a highly organized and detail-oriented individual to fill the role of Office Assistant. As a key member of our team, you will be responsible for providing administrative support to our office staff, ensuring the smooth operation of our daily activities.
The ideal candidate will have excellent communication skills, both written and verbal, and be proficient in Microsoft Office, particularly Word and Excel. Previous experience in an office setting, preferably in the medical field, is highly desirable.
Responsibilities will include:
- Answering and screening incoming calls, forwarding to the appropriate person
- Taking detailed and clear phone messages
- Supporting the office staff with basic administrative tasks
- Preparing client and caregiver files, scanning completed files to client/caregiver profiles
- Creating and sending Docu-sign agreements
- Updating client/caregiver profiles in Wellsky prior to filing
- Assisting the scheduling team by monitoring shift boards and conducting calls to clients and caregivers
- Assisting the AP/AR team with proofing payroll and billing
- Faxing, scanning, and copying documents as needed
- Handling and screening incoming and outgoing mail
- Typing and proofreading memos, reports, and other correspondence
- Greeting visitors as they enter the lobby
- Maintaining client and caregiver files
- Tracking office supply inventory
- Maintaining office cleanliness
- Executing special projects as assigned by the CEO
Education and experience qualifications include a high school diploma or GED, 1 year of office experience, preferably in the medical field, excellent written and oral communication skills, and proficiency in Word and Excel.
This is a full-time, hourly position with a competitive hourly rate of $16-$17 per hour, including health benefits and paid time off.
