Job Summary

The Event Planning Specialist will be responsible for managing the scheduling, event coordination, and calendars for multiple campus venues and facilities using a computerized reservation system.

Key Responsibilities
  • Interpret and explain policies and procedures as pertaining to the designated venues.
  • Conduct pre-event planning and coordination meetings with clients and serve as an Event Manager as the direct contact between the client and the facility.
  • Coordinate, collect, organize, and distribute information from event and conference planners and staff.
  • Schedule all public meeting facilities using scheduling software.
  • Coordinate conference services with campus departments such as University Dining, Athletics, FO&M, Campus Rec, Morrison Center, Security, Yankee, and Parking.
  • Meet with clients to determine needs and provide technical assistance in the planning stages of each conference.
Additional Responsibilities
  • Coordinate with Communications/Marketing staff to promote College of Arts and Sciences events.
  • Manage calendar for the Keith and Catherine Stein Luminary space and class/group reservations in coordination with School of the Arts staff.
  • Assist in the coordination of recruitment, retention, marketing, and other programmatic events as needed.
  • May occasionally conduct tours of the Center for the Visual Arts building on campus.
  • Administration for events-related queries in the College and Schools.
  • Coordinate with campus staff for various logistics efforts including School or Research Center conferences, showings, speakers, etc.
Requirements
  • Bachelor's Degree and 2 years experience or relevant professional experience.
  • Previous events management experience preferred.
