At the University of North Carolina at Chapel Hill, we are seeking an experienced Administrative Support Associate to join our team in the Division of Diagnostic Sciences.

About the Role

This is a dynamic and fast-paced role that will play a vital part in supporting faculty, staff, and departmental operations. As an Administrative Support Associate, you will be responsible for managing and maintaining departmental documents, managing administrative tasks, and providing support for departmental communication, travel arrangements, and academic materials.

The ideal candidate will have excellent organizational skills, with the ability to multitask and adapt to interruptions while ensuring efficient task management in a dynamic environment. Proficiency in Microsoft Office and experience with Sakai are essential, as well as a solid understanding of HIPAA practices and policies to maintain compliance and confidentiality.

Key Responsibilities:
  • Document Management: Create, update, and maintain Microsoft Word documents; perform copying, scanning, and faxing tasks as needed; manage PowerPoint presentations and organize departmental materials.
  • Departmental Communication and Patient Support: Answer and manage the department's main phone line, addressing patient-related inquiries; distribute departmental mail to relevant staff members and faculty; utilize the Epic electronic patient record system to access patient information.
  • Financial and Travel Administration: Process departmental vouchers, manage travel arrangements, and prepare travel itineraries for faculty; manage and track reimbursements for travel and other departmental expenses.
  • Canvas Support: Assist faculty with the Canvas learning management system; provide guidance for downloading and uploading class handouts and syllabi to Canvas.
Requirements:
  • High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
  • Effective communication, writing, and people skills, along with professional telephone etiquette.
  • Proficiency in Microsoft Office and Sakai, as well as a solid understanding of HIPAA practices and policies.
Preferred Qualifications:
  • Awareness of essential departmental platforms, including managing courses in Canvas, managing patient data in Epic electronic patient record, and coordinating travel and expenses in Concur.
  • Familiarity with the UNC ConnectCarolina system for university processes and strong skills in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), WebEx, and Zoom.
Estimated Salary Range:

$50,000 - $70,000 per year, depending on qualifications and experience.
