As an Orthodontic Patient Coordinator, you will play a crucial role in supporting our mission of delivering outstanding dental care. Your contributions will help create memorable experiences for our patients and their families.

Key Responsibilities:
  • Deliver exceptional customer service to patients and their guardians during check-in and check-out processes.
  • Provide compassionate care to every individual who visits our office.
  • Welcome patients and their families upon arrival and bid them farewell upon departure.
  • Manage daily appointment check-ins efficiently.
  • Keep parents informed about their child's appointment status while they wait.
  • Maintain a clean and organized waiting area and front desk.
  • Verify patient insurance eligibility prior to appointments.
  • Ensure accurate information is recorded in the patient's file.
  • Communicate service limits to the Orthodontic Financial Coordinator before treatment.
  • Prepare all patient files in advance of appointments.
  • Coordinate with the Orthodontic Financial Coordinator and doctors to facilitate same-day care.
  • Assist in achieving financial targets by ensuring full appointment schedules.
  • Schedule follow-up appointments for all patients.
  • Manage referrals to the appropriate specialists.
  • Complete pre-authorization processes for treatment approvals.
  • Collect payments and accurately post them in the practice management system.
  • Confirm upcoming appointments.
  • Handle incoming calls from orthodontic patients and provide assistance or direct them to the appropriate team member.
  • Ensure patient compliance with appointments and communicate effectively regarding any necessary follow-ups.
  • Maintain tracking spreadsheets or databases as directed.
  • Update patient records at the end of each day.
  • Engage in community events to promote a positive image of our services.
  • Adhere to all regulations, company standards, and compliance programs with integrity.
  • Inform and collect any out-of-pocket balances from patients prior to treatment.
  • Assist with additional office duties as required.
Qualifications:
  • Minimum of one year of experience in customer service, preferably in healthcare, retail, or hospitality.
  • Willingness to travel within the assigned territory.
  • Strong focus on customer satisfaction.
  • Passion for working with children.
  • Demonstrated compassion and service orientation towards patients, parents, and colleagues.
  • Integrity and a commitment to doing the right thing.
