About the Role
We are seeking an experienced Executive Support Specialist to join our team in [Location]. As a key member of our administrative staff, you will provide critical support to our management team, ensuring the smooth operation of our office and the delivery of high-quality services to our clients.
Responsibilities:
- Administrative Support: Provide clerical support to management, including preparing correspondence, reports, and presentations;
- Scheduling: Coordinate travel arrangements, meetings, and appointments using Outlook Calendar;
- Documentation: Prepare and edit procedures, review calculations, and other project-related documents;
- Communication: Serve as the primary point of contact for internal and external stakeholders, responding to inquiries and resolving issues in a timely and professional manner;
- Organizational Skills: Maintain accurate records, files, and databases, ensuring confidentiality and security at all times;
- Equipment Maintenance: Ensure the operation of office equipment by completing preventive maintenance requirements and reporting any issues to management;
- Supply Management: Maintain supplies inventory, checking stock levels, anticipating needs, and expediting orders as required.
Requirements:
- Education: High school diploma or equivalent required;
- Experience: Three years of administrative experience, preferably in a production environment, with a proven track record of meeting established production and accuracy goals;
- Skills: Excellent communication and writing skills, keyboarding skills (50+ wpm), proficiency in Microsoft Office (Word, Excel, PowerPoint), and ability to work independently with minimal supervision.
