Job Summary:

As a Document Control Coordinator I at SIX SIGMA/Winslow Automation Inc., you will be responsible for ensuring Change Notices (CNs) and Deviation Notices (DNs) have the appropriate approvals and are expedited as needed. You will accurately process CNs and DNs and release them in a timely manner. Additionally, you will keep personnel updated of document changes and deviations using distribution lists, notify personnel when DNs are about to expire, and update controlled binders and postings. You will also maintain the current revisions of documents and prevent the unintended use of obsolete documents. Other responsibilities include sorting, scanning, filing, and labeling records for archiving, coordinating shredding of archived records, and supporting other departments with admin tasks as needed.

Key Responsibilities:

Ensure Change Notices (CNs) and Deviation Notices (DNs) have the appropriate approvals and are expedited as needed.

Accurately process CNs and DNs and release them in a timely manner.

Keep personnel updated of document changes and deviations using distribution lists.

Notify personnel when DNs are about to expire.

Update controlled binders and postings.

Maintain the current revisions of documents and prevent the unintended use of obsolete documents.

Sort, scan, file, and label records for archiving.

Coordinate shredding of archived records.

Support other departments with admin tasks as needed.

Requirements:

AA/AS degree (or equivalent) minimum, BA/BS Preferred

5 years of relevant experience

Excellent oral and written communication.

Exceptional tracking, organization, and proof-reading skills.

Multi-tasking and coping skills for working in a quick-turn environment.

Detail-oriented with a focus on accuracy (low error rate).

Advanced computer skills in MS Office (Word, Excel, Access and Outlook) and Windows.

Ability to work independently with minimal supervision.

Safety-conscious, dependable, diligent, quick-learner, self-motivated.

Working knowledge and understanding of document control and quality systems based on ISO 9001 or AS9100 standards.

Ability to train small groups or individuals a plus.

Ability to revise documents and generate change notices a plus.

Ability to participate in internal audits (in a lead role) a plus.

Ability to resolve issues related to documents and records with others a plus.
