We are seeking an experienced Operations Coordinator to join our team at MSCCN in Austin, Texas. This is a contract position with an estimated annual salary of $55,000.

Job Summary

The Operations Coordinator will be responsible for executing daily back office services, including reprographics copy and mail services in both physical and digital environments. This role involves managing and processing customer applications with accuracy and efficiency, maintaining and updating customer credit records, and resolving customer inquiries in a timely and professional manner.

Key Responsibilities
  • Manage and process customer applications with accuracy and efficiency.
  • Maintain and update customer credit records.
  • Resolve customer inquiries in a timely and professional manner.
  • Monitor customer accounts and execute appropriate action when necessary.
  • Utilize appropriate logs for all office services work.
  • Evaluate job tickets before beginning work.
  • Perform work in office services primarily reprographics, mail, and intake functions according to established procedures.
  • Communicate effectively with the supervisor or client on job or deadline issues.
  • Troubleshoot basic equipment problems and place service calls when needed.
  • Prioritize workflow and perform Quality Assurance on own and work of others.
  • Loading machines with various paper and toner supplies.
  • Managing digital reprographics.
Requirements
  • Proficiency in customer service is essential, with a focus on serving and satisfying client needs.
  • Familiarity with office functions, operations, and procedures is crucial for this role.
  • Ability to answer inbound calls promptly and professionally.
  • Experience in supervising team members or projects is desirable.
  • Knowledge and understanding of hiring processes is a plus.
  • Proficient in scanning documents and maintaining logs related to office operations.
  • Experience with receptionist duties, such as welcoming guests and handling queries.
  • Ability to troubleshoot issues related to office machinery and operations.
  • Understanding of facility management and upkeep.
  • Strong digital skills, including proficiency in office software and tools.
  • Excellent communication skills, both written and verbal, are required.
  • Familiarity with quality assurance practices and procedures.
  • Ability to handle and distribute faxes in a timely and organized manner.
  • Willingsness to work overtime when necessary to meet deadlines or handle special projects.
  • Experience handling service calls and resolving customer issues.
  • Ability to manage and protect confidential documents in adherence to company policies.
  • Experience with office perks and benefits administration is a plus.
