About the Role

The Detroit Zoological Society seeks an experienced Administrative Coordinator to support our senior executive team. As a key member of our operations team, you will be responsible for providing exceptional administrative support, ensuring seamless day-to-day operations, and contributing to the success of our organization.

Job Summary

This is a full-time position that requires a highly organized and detail-oriented individual with excellent communication and interpersonal skills. The successful candidate will have experience working in a fast-paced environment, managing multiple priorities, and maintaining confidentiality.

Key Responsibilities
  • Provide administrative support to senior executives, including calendar management, travel arrangements, and correspondence.
  • Manage and maintain accurate records, files, and databases, ensuring compliance with organizational policies and procedures.
  • Coordinate meetings, events, and projects, ensuring timely execution and follow-up.
  • Prepare and edit documents, reports, and presentations, maintaining attention to detail and professionalism.
  • Develop and implement effective filing systems, ensuring easy access to information.
  • Schedule appointments, arrange travel, and make reservations as needed.
  • Maintain confidentiality and handle sensitive or confidential information with discretion.
  • Perform other related duties as assigned.
Requirements
  • Bachelor's degree in business administration or a related field.
  • Minimum 5 years of experience as an administrative assistant or coordinator, preferably in a non-profit organization.
  • Excellent written and verbal communication skills.
  • Proven ability to work independently, prioritize tasks, and manage multiple deadlines.
  • Able to establish and maintain effective working relationships with internal and external stakeholders.
  • Familiarity with Microsoft Office Suite and other productivity software.
Preferred Qualifications
  • Experience working in a zoological or conservation organization.
  • Knowledge of zoo operations, animal care, or conservation practices.
  • Certification in administrative assisting or a related field.
Working Conditions

This is a full-time position that requires sitting, standing, walking, bending, stooping, lifting up to 40 pounds, and using standard office equipment and computer.
