Job Description

Cynet Systems is seeking a highly organized and detail-oriented Clerk to join our team. As a Clerk, you will be responsible for providing administrative support to our Clinical Lab department.

Key Responsibilities
  • Manage correspondence, reports, and applications in a timely and efficient manner.
  • Answer telephone calls and provide routine information to departmental services.
  • Provide guidance on laws, rules, regulations, policies, and procedures in the Department of Clinical Laboratory.
  • Prepare standardized forms, such as routing slips, and maintain accurate records.
  • Receive and distribute incoming mail and memoranda.
  • Operate standard office machines and equipment, including calculators, fax machines, copiers, and computers.
  • Review forms, lists, documents, correspondence, and applications for accuracy and completeness.
  • Schedule conferences, meetings, interviews, appointments, and similar activities.
  • Notify parties of information, such as meetings and conferences, orally and/or in writing.
  • Compile data for analysis based on statistical information gathered on a monthly basis.
  • Proofread typed material for grammatical, punctuation, and spelling errors, and for proper format, accuracy, and completeness.
  • Compose correspondence for routine memos and letters, such as requests for information and confirmation of meetings.
  • Communicate with reference laboratories regarding invoices, testing information, and other related activities.
  • Prepare bi-weekly time logs and overtime forms.
  • Verify client reports (EMR) and file them.
  • Access the LAB portion of the Hospital Information System to acquire patient-specific information for supervisors and/or providers/nursing personnel.
  • Maintain inventory control of office supplies.
  • Distribute, fax, and/or mail patient results to appropriate physicians/departments/institutions and communicate results.
  • Maintain patient, employee, and department confidentiality while fulfilling all duties.
  • Prepare agendas and minutes of meetings.
  • Coordinate administrative activities for the Clinical Lab Supervisor, including maintaining the Supervisor's appointment calendar.
  • Report to the Clinical Lab Supervisor for periodic review of state, federal, and JCAHO requirements.
  • Update and maintain all components of the Clinical Lab Policy/Procedure manual and lab binders by logging into Policy Tech.
  • Update and maintain all aspects of the Clinical Lab Safety Manual.
  • Update and maintain all aspects of the Clinical Lab Continuing Education Manual by updating the department spreadsheet to track seminars, presentations, etc.
  • Provide support with Employee Performance Forms, including editing, organizing, filing, and distributing copies of individual employees' (state A-C) EPRS forms.
  • Assist staff with difficulties using the SSTA System.
  • Help the specimen processing department as needed.
  • Receive specimens and distribute them to each department accordingly (Microbiology, Hematology, Blood Bank, etc.) and utilize Medi Tech to receive specimens.
Qualifications, Knowledge, Skills, and Abilities
  • Ability to understand and apply laws, rules, and policies relating to the department.
  • Ability to maintain accurate records and filing systems.
  • Proficient with Microsoft Word and familiar with Microsoft Excel and Microsoft Access.
  • Ability to quickly become proficient with the LSH Network system.
  • Willingness to attend seminars/training to become proficient with Microsoft Office programs as needed.
  • Ability to establish and maintain harmonious working relationships with others.
  • Knowledge of clerical office practices and procedures.
  • Skills in operating general office machines, including electronic typewriters, computers, fax machines, copiers, and dictating equipment, with the ability to write 35 mail-able words per minute.
  • Ability to explain laws, rules, policies, and procedures pertaining to the department.
  • Ability to give written and oral instructions in a precise, understandable manner and communicate effectively and with sound judgment.
  • Ability to determine the proper format and procedure for assembling items of information.
  • Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished.
  • Knowledge of the principles, practices, and techniques of supervision.
  • Knowledge of the types and uses of department forms.
  • Knowledge of proper telephone procedures for making and receiving department calls.
Minimum Entrance Requirements
  • Applicants must have at least three years of full-time, or equivalent part-time, experience in office work or any equivalent combination of the required experience and the substitutions below.
  • Substitution: A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school level may be substituted for a maximum of two years of the required experience.
  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
