We are seeking a highly skilled and detail-oriented Administrative Assistant to provide comprehensive administrative support to our team. Key Responsibilities
  • Maintain a clean, organized, and professional office environment, ensuring the office runs smoothly on a daily basis.
  • Assist with day-to-day administrative tasks such as filing, scanning, and data entry, and prepare and edit documents, reports, and presentations.
  • Handle incoming and outgoing mail and packages, maintain and update company databases and records.
  • Communicate effectively with internal and external stakeholders, including answering and directing phone calls, taking messages as needed, and greeting and assisting visitors.
  • Schedule and coordinate meetings, appointments, and travel arrangements, and assist in organizing company events and meetings.
  • Coordinate logistics for training sessions, workshops, and conferences, and prepare meeting agendas, take minutes, and distribute them as necessary.
  • Accurately enter and process customer orders, ensuring all details are correctly recorded and communicated to the relevant departments.
  • Monitor order status, handle order-related inquiries, and coordinate with the sales and logistics teams to ensure timely delivery.
  • Prepare and submit expense reports, and monitor and reconcile office budgets.
  • Support special projects by assisting in planning and execution, conducting research, and compiling information as needed.
  • Provide administrative support to various departments as required, maintaining confidentiality and compliance with company policies and procedures.
Qualifications

The ideal candidate will have a high school diploma or equivalent, with an Associate's or Bachelor's degree preferred. Proven experience as an administrative assistant or in a related role is essential. Proficiency in office software (e.g., MS Office, Google Workspace) and familiarity with office equipment (e.g., printers, scanners, copiers) are required.

Working Conditions

This position requires a standard 40-hour workweek, Monday through Friday, with some flexibility in hours for special projects or events. The role is primarily office-based, with occasional requirements for off-site meetings or events.
