Administrative Assistant Role

About the Job:

SWBR Architecture, Engineering & Landscape Architecture, D.P.C. is seeking a highly skilled Administrative Assistant to provide support to its professional services staff, project teams, and principals.

Key Responsibilities:

  • Process proposal letters, owner, and subconsultant agreements, certificates of insurance, and book business-related events.
  • Draft and finalize agreements, edit AIA customized agreement templates, and track agreement statuses.
  • Review client-generated agreements, obtain certificates of insurance, and coordinate business travel arrangements.
  • Manage the master schedule of weekly vendor product sessions, track attendance, and maintain educational credit records.
  • Support construction administration tasks, including processing, distributing, and tracking change order requests, pay applications, and certificates of substantial completion.
  • Utilize construction management software, create and distribute construction progress reports, and coordinate virtual conferencing options.
  • Follow established filing management processes, work collaboratively with other administrative staff, and perform other administrative duties as assigned.

Requirements:

  • High school diploma required; associate's degree preferred.
  • Minimum of five years of administrative experience; previous experience in the architecture and engineering industry is strongly preferred.
  • New York State Notary Public preferred; prior experience in construction/project management is also preferred.
  • Strong computer skills, advanced Microsoft Office knowledge, and accurate typing skills (minimum 60 words per minute) are required.
  • Excellent organizational, time management, and communication skills are essential.
  • Ability to manage multiple tasks, maintain attention to detail, and provide excellent customer service.

Work Environment:

100% in-office work with light to moderate noise.

Compensation:

The salary range for this position is $46,924 - $55,610.
