The Accounting Administrative Assistant will provide critical support to the Senior Vice President of Finance and Accounting Management Team with a variety of routine and semi-routine accounting projects in accordance with standard procedures.

Key Responsibilities
  • Onboarding and Offboarding: Oversee and own proper onboarding and offboarding for Finance and Accounting Function, including owning learning library for the team.
  • Expense Management: Work with expense management and ensure that expenses are filed timely and accurately.
  • Calendar Management: Own calendars regarding audits, statutory and regulatory filings while helping to compile all audit documentation for our audit team.
  • Record Keeping: Manage, report and file department records, including team's schedule, attendance, and vacation calendar, amid all other necessary documentation that supports the accounting department.
  • Communication: Function in department operating systems ensuring timely responses to incoming calls, mail and emails, including drafting written responses to all levels of management.
  • Meetings and Presentations: Coordinate, schedule and facilitate meetings and presentations, including dates, agendas, meeting rooms and invites.
  • Financial Reporting: Develop and organize financial statements reporting packages/dashboards.
  • Client Management: Create and maintain client accounting contact list.
  • Supply Management: Order supplies and equipment necessary for Accounting department productivity.
  • Administrative Support: Provide other administrative support as needed.
Qualifications and Competencies
  • Education: High School degree minimum. College degree preferred.
  • Experience: Minimum of 3-5 years related experience in Accounting and Finance support is preferred.
  • Technical Skills: Proficient in Microsoft Office Suite systems, high comfort level leveraging reporting tools daily.
  • Communication Skills: Exceptional communication skills, both verbal and written.
  • Interpersonal Skills: Excellent facilitation, and interpersonal skills, with the ability to liaise positively with all levels of management.
  • Analytical Skills: Strong analytical, organizational, and problem-solving skills.
  • Professionalism: Professionalism and discretion along with excellent prioritization skills.
