UVA Project Coordinator Event Support Specialist

The Commonwealth of Virginia is seeking a skilled UVA Project Coordinator to provide exceptional event support in the Department of Computer Science at the University of Virginia. This exciting role will involve coordinating events from start to finish, arranging venues, scheduling logistics, and ensuring seamless execution. As an integral member of our team, you will be responsible for managing travel arrangements, reconciling accounts, and working closely with faculty and staff to deliver outstanding results.

This position requires strong organizational skills, exceptional interpersonal abilities, and the capacity to handle multiple priorities effectively. The ideal candidate will possess a deep understanding of financial principles and have experience in event planning or related fields. Additionally, proficiency in Microsoft 365 applications is essential for this role.

We offer a competitive salary of $45,000 per year, commensurate with experience and education. Responsibilities include:

  • Event Support (75%): Arranging venues, scheduling logistics, set-up/clean-up arrangements, processing reimbursements, travel booking, and account reconciliation.
  • Faculty Recruitment (15%): Organizing cloud folder systems, working closely with search chairs, arranging meetings, communicating with stakeholders, and day-of interview assistance.
  • Faculty Onboarding (5%): Working with finance teams and ITS for supply orders, ordering business cards, collecting information for website posting, and placing faculty on appropriate email lists.
  • Faculty/Student General Assistance (5%): Meeting support, room reservations, catering orders, and administrative duties as assigned.

Qualifications include:

  • Associates degree or higher, 1+ year(s) experience in event support or related field, some financial experience a bonus.
  • Highly organized and proactive, with excellent communication and interpersonal skills.
  • Able to handle multiple competing priorities effectively and independently research financial processing questions and provide direction and resolution.
