Trustworthy Administrative Assistant

The Cape Henlopen School District is seeking a highly skilled Substitute Administrative Assistant to join our team. In this role, you will have the opportunity to work in a fast-paced environment, providing administrative support to various departments within the district.
About the RoleAs a Substitute Administrative Assistant, you will be responsible for performing a variety of administrative tasks, including typing, filing, and maintaining records. You will also be expected to communicate effectively with administration, staff, students, families, and the public in a courteous and helpful manner.
Duties and Responsibilities- Professional Responsibilities:
- Establish and maintain effective working relationships with colleagues, administrators, and external partners.
- Acknowledge guidance and suggestions from supervisors and peers.
- Communicate clearly and concisely both verbally and in writing.
- Work independently, exercising initiative and sound judgment.
- Collaborate with colleagues to achieve common goals and objectives.
- Greet families and visitors professionally, demonstrating a positive attitude and demeanor.
- Perform job functions with tact and discretion, maintaining confidentiality when necessary.
- Attend regularly and arrive on time for scheduled shifts.
- Secretarial Skills:
- Answer telephone calls promptly and professionally, transferring calls or scheduling appointments as needed.
- Exercise sound judgment when responding to emails and phone messages, ensuring accuracy and timeliness.
- Coordinate tasks and projects effectively, prioritizing deadlines and responsibilities.
- Compose written correspondence, reports, and other documents as required.
- File documents accurately and efficiently, maintaining organized systems and protocols.
- Office Management Skills:
- Demonstrate expertise in office management, including procedures, equipment, and software applications.
- Utilize computer programs, online information systems, and data management tools to perform job duties efficiently.
- Multitask and prioritize tasks effectively, managing competing demands and deadlines.
- Analyze problems and recommend solutions, escalating issues to supervisors as necessary.
- Seek guidance and advice from school supervisors and district administrative staff when needed.
- Maintain confidentiality of sensitive information, adhering to FERPA regulations.
- Knowledge:
- Clerical - Knowledge of administrative procedures, including word processing, file management, and record-keeping.
- English Language - Proficiency in English language structure and content, including grammar, spelling, and composition.
- Computers and Electronics - Familiarity with computer software applications, including Microsoft Office, E-School, AESOP, Data Service Center (DSC), Identity Management System (IMS), PeachJar, School Dude, Schoology, and other relevant systems.
- Customer and Personal Service - Understanding of customer service principles and practices.
- Administration and Management - Knowledge of coordination and management of people and resources.
- Active Listening - Ability to listen attentively and respond thoughtfully to others.
- Speaking - Effective verbal communication skills.
- Reading Comprehension - Ability to read and understand written materials, including documents and reports.
- Writing - Clear and concise written communication skills.
