Job Summary

This role is responsible for ensuring the smooth operation of the front clinic patient flow. As a primary contact for patients, you will be responsible for scheduling appointments, preparing necessary paperwork, receiving patients, and maintaining records. Additionally, you may be responsible for processing charges for clinic services, filing insurance claims, and responding to requests for information from patients and insurance companies.

Main Responsibilities
  • Collaborate with the Patient Services Supervisor to manage day-to-day operations in computer scheduling and communication of mental health and phone services/appointments.
  • Work with primary care health providers, case management providers, employees, and outside consultants to ensure a high-quality continuum of care that meets the needs of patients.
  • Conduct follow-up calls with patients to ensure satisfaction and address any concerns.
  • Assist patients with paperwork and appointment preparation, ensuring all necessary information is complete and accurate.
  • Respond promptly and professionally to urgent requests from providers or patients, maintaining confidentiality and discretion.
  • Process specialist visits referrals according to established protocols, ensuring timely and efficient communication with patients and providers.
  • Collaborate effectively with healthcare professionals and staff to provide exceptional patient care and service.
  • Update patient profiles via computer system data entry, ensuring accurate and up-to-date information.
  • Maintain the cleanliness of the waiting area, creating a welcoming and comfortable environment for patients.
  • Verify insurance eligibility through online systems or phone calls, ensuring patients receive the necessary care and services.
  • Interact with patients and faculty, handling additional tasks as needed to support the smooth operation of the clinic.
  • Handle daily mail, faxes, and emails with high confidentiality, maintaining the security and integrity of patient information.
  • Ensure all insurance pre-visits, pre-authorizations, and referrals are on file before visits, streamlining the patient experience.
  • Collect co-pays, deductibles, and co-insurance payments from patients, maintaining accurate records and ensuring timely payment.
  • Provide billing inquiries to the coders to discuss with patients, ensuring clear communication and resolution.
  • Handle medical records, ensuring compliance with legal and HIPAA regulations, maintaining the confidentiality and security of patient information.
  • Promote teamwork and positive patient perceptions through effective communication, fostering a collaborative and supportive environment.
  • Complete duties/projects as assigned by the Patient Services Supervisor, demonstrating flexibility and adaptability in a fast-paced clinical setting.
Requirements
High school diploma or equivalent. 3 years of customer service, office, or related experience, with 2 of those years in a healthcare setting preferred. Additional education may substitute for the experience requirement.
