Job Description

We are seeking an experienced and detail-oriented Office Administrator to manage our administrative operations. The ideal candidate will have a strong background in accounting, payroll, budgeting, and human resources.

Key Responsibilities
  • Manage invoicing, payments, and collections to ensure accurate and timely processing of invoices and payments.
  • Administer weekly payroll, including tracking employee hours, processing payroll changes, and ensuring compliance with federal and state regulations.
  • Ensure the company adheres to all relevant laws and regulations, maintaining and updating compliance documentation.
  • Maintain accurate financial records and oversee general ledger functions, reconciling accounts and preparing financial statements.
  • Prepare all necessary documentation and reports for the end-of-year accounting process.
  • Follow up on outstanding invoices and manage collections efforts to ensure timely payment.
  • Assist with HR functions, including employee onboarding, benefits administration, and maintaining personnel records, addressing employee concerns and ensuring a positive workplace environment.
Qualifications
  • Proven experience as an Office Administrator, Office Manager, or relevant role.
  • Strong knowledge of accounting principles and payroll procedures.
  • Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Excellent communication and interpersonal skills.
  • Knowledge of human resources principles and practices.
  • Experience in a small business environment is a plus.
Education
  • Bachelor's degree in Business Administration, Accounting, Finance, or related field preferred or equivalent experience.
  • Relevant certifications (e.g., CPA, HR Certification) are a plus.
